The Contract RP’s Identity

A Contract Responsible Person (Contract RP) plays the same role as a ‘regular’ RP but they are not a direct employee of the company they are an RP for.

They should not have any commercial interest in the company that contracts them but make regular visits to the site to ensure that Good Distribution Practice compliance is being effectively maintained. They can delegate their duties but remain responsible for them.

When hiring a Contract RP, you will need to perform due diligence checks to ensure they will be able to effectively perform the service. Ask for references from companies they have worked with in the past, look at evidence that they have successfully completed relevant training (ideally they would have more than basic Good Distribution Practice Guidelines training), and talk to industry contacts to get an idea of their reputation. When looking at cost, the most expensive doesn’t mean they are the best.

The RP is a hugely important role so if you choose the wrong person this could have serious repercussions on your company.

At Paradigm we can provide an experienced Contract RP who can provide support with Good Distribution Practice compliance within your company by helping you set up a new QMS and SOPs or review and update your existing ones.

They can also perform audits of the site, advise you on what areas need to be improved, support your management staff, audit your third-parties, suppliers/customers, help to train your future RP (they can shadow and see first-hand what is required for the role) and ensure that all personnel have the correct training.

However if (during the course of our involvement) you are unable/unwilling to create the impetus required to improve your GDP situation in order to attain a status of compliance, we would not be accepting the role:
As you yourself would be expected to perform due diligence on an under-performing RP to prevent negative impacts on your company, we also retrospectively would be committed to do the same.

An RP’s Deputy can provide support to your current RP, giving advice and taking on some of their duties (including performing regular self-inspections). This is a great service if you have a suitable RP already but they need some extra help or training.

A Contract RP should not be on too many contracts at the same time. We ensure this with all our RPs so they will be able to dedicate the time needed to each company and will remain continuously available for you to contact regarding any questions, queries or issues. They will frequently visit the site and be involved in all management/review meetings,  be kept up-to-date with everything going on within the company and ensure compliance is being maintained.

Covid – 19

Due to Covid restrictions, onsite visits at some premises have been reduced to absolutely necessary appointments, but phone/video calls will still be as frequent and adaptions should be made to accommodate this. If you have any doubts please call us to discuss, as the Covid situation is constantly changing due to emerging variants that are manifesting periodically.
